What events teams say

What conference and events teams say

Planners call while I'm on a site visit. Now they get answers, and I get the brief in my inbox.

I called it pretending to be a wedding planner. It asked the same questions my sales manager asks.

Where events go missing

Planners still call. Voicemail can't take the brief.

Your sales team can't pick up during a site visit, after the office closes or on a Saturday. The people calling have dates, headcounts and room setups. A voicemail box can't answer their questions or take the brief, and they can call the next venue on their list.

26.3%

Of after-hours reservation calls went straight to voicemail

In a 2026 mystery-shop study, over a quarter of after-hours reservation calls reached a standard voicemail box. A planner who calls at 7 p.m. about a March conference can call the next venue before you call back.

About 1 in 2

Of high-intent callers book on the call

In a benchmark of 4.6 million calls to North American hotels in 2023, about half of high-intent callers booked during the call. An unanswered call never gets that chance.

Setup

Live in 7 days. We do the setup.

We build it from the documents you already have. Your team joins one kickoff call and tests it before any guest hears it.

  1. Send your venue info

Send your website link, fact sheet, policies and function sheet. We go through them with you on one kickoff call.

  2. We build it for your venue

We set the greeting, voice and language, who gets summaries, which calls get transferred, and your key-account list.

  3. Test it on a private line

You get a test number. Call it, ask hard questions and try to trip it up. We adjust its answers until you approve.

  4. Forward your calls and go live

Keep your number. Forward all calls, after-hours calls only, or calls that ring out or come in while the line is busy. We set up the forwarding with you.

Built for MICE sales

It's set up around conference and event sales: capacities, room setups, day delegate packages, room blocks and catering. It answers guest questions too, and passes urgent calls to your staff.

Your data and call recording

Callers hear at the start that they're speaking with an AI assistant, and whether the call is recorded. Recording can be switched off or configured per property. Call summaries go only to the addresses you choose. Ask us for our data processing terms.

Natural voices in English and Swedish

Pick the voice and greeting that fit your venue. It speaks English and Swedish today. Need Arabic or another language? We confirm it before you sign.

Is it a good fit for your venue?

A great fit

  • Conference hotels and MICE venues
  • Venues that sell meetings, conferences, incentives and events
  • Small sales and events teams who can't answer every call
  • Venues where inquiries go to voicemail after hours or on weekends
  • Teams that work in a CRM, a PMS or email

Probably not a fit

  • Hotels that sell rooms only, with no meeting or event space
  • Chains with a central reservations or events office
  • Venues where a person already answers every call, day and night
  • Venues that want callers to believe they're talking to a person
  • Venues that need a language other than English or Swedish today (ask us first)

Most of our group business starts with a phone call from an assistant. When the sales office closed at five, those calls went to voicemail. Now every inquiry arrives as a brief with dates, headcount and setup, and my team calls back with a proposal the next morning.

Many of our conference inquiries still come by phone, often while I'm showing a client around the building. I tested it by calling as a company planning a kickoff. It asked about the date, the headcount, the room setup and the lunch. The summary was in my inbox right after I hung up.

During conference season my team is on the floor running events, and the phone keeps ringing. Now every caller gets an answer, and anything urgent comes through to us as a transfer. Our key accounts still reach a person.

We're a small team and nobody answers the phone once the office closes. Planners call in Swedish and in English, and it handles both. I expected it to sound stiff. It sounds like someone who has read our whole function sheet.

Afternoons are when planners call, and it's also when we turn rooms over between meetings. Now it picks up when we can't, and I get a text with what the planner wanted. Setup was easier than I expected. We sent our function sheet, had one call and tested it on a private line until we were happy.

I didn't want a robot pretending to be my staff. It tells callers it's our AI assistant and then simply helps them. Event inquiries reach my sales team with the details filled in, and they write the proposal. It only quotes the rates we gave it, which was my main worry.

FAQ

Questions venues ask us.

Anything else? Bring it to the demo call.

Book a demo call
Will planners know they're talking to an AI? Will they mind?

Yes, they'll know. It introduces itself as your hotel's AI assistant at the start of every call, using the wording you choose. Any caller who asks for a person gets transferred, or it takes a message for your team. Whether callers mind is easier to judge by ear. Try the demo at the top of this page.

What if it gives a wrong answer or quotes the wrong rate?

It answers only from the information you approve. If the answer isn't there, it takes the caller's details and sends them to your team. It quotes a day delegate rate or room rate only if you give it a rate sheet to use. Otherwise price questions go to your sales team with the inquiry. Every call has a summary, so you can see what was said, and we update its answers when you tell us.

Do we keep our phone number? Will it work with our phone system?

You keep your number. Calls reach it by forwarding from your current line or PBX. You choose when it answers. All calls, after-hours calls only, or only calls that ring out or come in while the line is busy. We set up the forwarding with you.

How much of my team's time does setup take?

One kickoff call and a test. Send us your website, fact sheet, policies and function sheet, and we build the rest. You get a test line to try, and we switch on forwarding only when you approve. You're live in 7 days. Summaries arrive by email or SMS, so your staff don't need to learn new software.

What happens with urgent calls and key accounts?

Give us your key accounts, VIP names and numbers, and the words that mean urgent at your venue. Those calls are warm-transferred to the person you choose. If nobody answers, it takes a message and texts it to you marked urgent. Any caller can ask for a person at any time.

Which languages does it speak?

English and Swedish today. If your callers speak another language, such as Arabic, ask us. We confirm whether it's supported before you sign.

What about GDPR and call recording?

Callers hear at the start that they're speaking with an AI assistant, and whether the call is recorded. Recording can be switched off or configured per property. Call summaries go only to the addresses you choose. Ask us for our data processing terms and where call data is stored.

Can we cancel the monthly plan?

Yes. The minimum term and notice period are written in your agreement, and we go through them on the demo call before you sign. When the plan ends, we switch your call forwarding back to your team.

What exactly does the 30-day guarantee cover?

The one-time $1,000 setup fee, in full. If you're not happy for any reason within 30 days of going live, email us and we refund it. You don't need to give a reason. Go-live is the first day your calls forward to the AI receptionist, which we confirm in writing. Monthly fees for days already live are not refunded.

What does it cost, and what's included?

$1,000 once for setup, then $497/month, flat. That covers the voice receptionist on your number, done-for-you setup, event inquiry capture, briefs by email or SMS, warm transfers, CRM and PMS integration, English and Swedish, a test line, ongoing answer updates and reporting. The website chat is included as a bonus.
